Define the job first

List the top three tasks you want help with: writing, research, coding, data analysis, customer replies or meeting summaries. Different assistants have different strengths, so test with your own real examples.

Compare what matters

  • Quality: run the same prompt in two or three tools and compare accuracy and tone.
  • Privacy: check whether your conversations are used to train models, and whether business plans offer stronger data controls.
  • Integrations: does it connect to the email, documents and apps your team already uses?
  • Cost: compare per-user pricing, usage limits and free tiers.
  • Reliability: consider uptime, support and how quickly the product improves.

Pilot before committing

Choose one or two people, give them a defined project and review the results after a few weeks. Ask what saved time, what needed fixing and what they would not trust the tool to do.

Write a short usage policy

Decide what information may be shared, who checks outputs and how AI use is disclosed to clients. A one-page policy prevents most problems.
